Once you've started sourcing for a job, candidates end up at different stages: some just saved, some you've messaged, some invited to an assessment, some finished. This article covers where to find each of them, what you can do at each stage, and how to see all your jobs at a glance.

The four stages: Leads, Contacted, Invited, Completed
Every job's candidates page groups people into four stages, one open at a time:
- Leads: candidates you've saved but haven't reached out to yet
- Contacted: candidates you've messaged
- Invited: candidates who've been sent an assessment
The Leads bucket
Everyone you've saved for this job, and haven't contacted yet, lives here.
From this view, you can:
- Contact a candidate: click their row to open the message panel and reach out. On the Free plan or a legacy plan, you won't have Sourcing credits to spend, so you'll be prompted to upgrade instead.
- Mark as not interested: removes a candidate from your list. They disappear from the list right away.
- Contact several at once: select multiple leads and reach out to all of them in one go.
- Remove several at once: select multiple leads, including across pages, and remove them from your list together.
A candidate saved for one job doesn't automatically carry over to another. If the same person is relevant to two roles, save them separately for each.
The Contacted bucket
Everyone you've reached out to for this job lives here, whether or not they've replied yet.
From this view, you can:
- Click any row to open the message panel and see the conversation.
- Invite several to an assessment at once: select multiple contacted candidates and send them all an assessment invite in one go. Invites are sent in the background, so you'll get a confirmation once they've gone out rather than a blocking wait.
The candidate side panel
Clicking any candidate, at any stage, opens a side panel where you can:
- Review their candidate overview.
- Switch to the job's details for context on the role, without losing your place.
- Write and send messages. If you switch tabs partway through a draft, it's still there when you come back, nothing is lost.
Common questions
Why can't I see all my candidates in one table?
Leads, Contacted, Invited, and Completed are kept as separate views so each one stays fast and focused on the action you'd actually take there, rather than one long list mixing every stage together.
I'm on the Free plan. Can I still contact leads?
You can save as many leads as you like on any plan. Contacting them spends a Sourcing invite, which the Free plan plans don't include, so you'll be prompted to upgrade when you try.
Can I shortlist the same candidate for two different jobs?
Yes. Shortlisting (or saving) is per job, so you can save the same candidate independently for each role they're relevant to.
